Who we are
We are Propertymark Qualifications Limited (company number 6001740) trading as Propertymark Qualifications.
Any reference to "You", "Your", "Nominee" and "Nominator" subsequently throughout this document, means a user of our services. Any reference to "The Awards" means Propertymark Qualifications Awards.
We believe it is very important to respect the privacy of individuals and to be transparent around the data we collect and why. This privacy policy explains Propertymark Qualifications' approach in relation to how we collect, process and protect Your personal data.

Propertymark is the 'Controller' of any personal information You provide to us. We will process Your personal information in accordance with all applicable laws, including the General Data Protection Regulation(GDPR) (EU)2016/679.
What personal information will we collect and how will we use it?
We will only use the information You give us or that we collect for the original purpose for which we collected it, as specified in this Policy, subject to certain legal exemptions. This section outlines what types of information we collect, and how we process and use it.
In order to make a nomination for The Awards, we ask that the "Nominator" complete an online Nomination Form and provide us with the "Nominee's" and "Nominator's" personal information, including names, personal email addresses, employment details and educational experience. We use this information to assess Your nomination. In accordance with General Data Protection Regulation we ask nominators to get the permission of nominees and confirm that they have taken this action, prior to submitting their personal details.
If Your nomination is suitable, we will continue to process the above information in order to administer nominations for "The Awards".
Propertymark Qualifications ask nominators to submit the personal details of their nominee. In order to confirm that nominees are aware that their personal data has been submitted and is being stored and processed Propertymark Qualifications will contact the nominee to inform them, within a week of personal information being received. Nominees will be offered to the option to have personal data erased at this stage. You can withdraw your application from "The Awards" at any time by emailing [email protected] and telling us that you no longer want to take part.
Who will have access to the Nominee and Nominator's personal information?
Subject to certain legal exemptions, we will not share Your information with any additional third parties, unless You have given Your express consent.
Nominations for "The Awards" will be made via a third party data processor, Dotmailer. The Dotmailer platform is hosted on Microsoft Azure and any subcontractors are listed at www.dotmailer.co/trust. European data is held in the West Europe region, with data being backed up to the North Europe region. All Azure facilities meet a broad set of compliance standards, details of which can be found here. The data which we ask Dotmailer to process and store for us is processed in Azure data centre locations in London, UK and Cardiff, Wales. In order to maintain a stable platform, Dotmailer says that it may become necessary in certain circumstances to permit system access to Dell, Microsoft and its agents.
Details of your application will be stored on Propertymark's servers which are based in the UK and processed via Microsoft Office 365 Business.
How long will we keep Nominee and Nominator's personal information for?
We will retain your information for a period of up to 18 months in order to be able to contact you to ask you about your experience of the awards. If you win an award, we will retain your data for a period of up to 5 years in order to demonstrate a track record of eligible winners.
Images of the event
We will use images of attendees to the awards ceremony in order to promote future entries to the competition and in order to promote the work of Propertymark Qualifications both to potential learners and to consumer audiences.
Security of Nominee and Nominator's personal information
In accordance with the requirements of the GDPR and all applicable laws, we take appropriate technical and organisational measures to safeguard Your personal information.
Opting out
You can withdraw your application from "The Awards" at any time by emailing [email protected] and telling us that you no longer want to take part.
Your rights
You have the right to request a copy of any personal information we hold about You. This is known as a Subject Access Request for which there is no charge, providing the requests are not manifestly unfounded or excessive. Your request needs to be made in writing and sent to the Data Protection Officer at the address given below under 'How to contact us'. We will ask You to provide ID before processing the request. Once in receipt of this, we will process the request without undue delay and within one calendar month. If the matter is complex an extension of up to two months can be given.
You also have rights in relation to rectification, erasure, restriction, data portability, objection and automated decision making. If You would like more information or to exercise rights, within the context of Your relationship with Propertymark, or wish to exercise the above rights, please contact the Data Protection Officer using our contact details below.
If You would like to complain to Propertymark Qualifications about the way Your personal information is processed, You have the right to do so.
